Scope
This policy applies to information Helixrack LLC handles through helixrack.com, its intake and beta-request forms, email, receiving, support, security, abuse, billing, equipment custody, and authorized remote-hands work. Helixrack LLC is responsible for this handling unless a signed service agreement or another notice identifies a different role for a specific service.
Information we collect
Information you provide
Depending on your request, this may include:
- your name, email address, company, and other contact details;
- server model, dimensions, weight, power inputs, expected and peak draw, rails, airflow, network needs, and other equipment details;
- shipping, carrier, tracking, receiving, and custody information;
- quote, billing, and transaction records;
- support messages, service identifiers, diagnostic notes, timestamps, and work authorizations; and
- task, equipment, or delivery photographs when they are needed to document authorized work.
Information processed when you use the site
Our hosting and security infrastructure may process an IP address, browser and device information, requested page, referring page, request time, response status, and security events. We use this information to deliver the site, diagnose errors, prevent abuse, and investigate security issues.
Information not to send
Do not put passwords, private keys, access tokens, recovery codes, encryption keys, payment-card numbers, or sensitive workload data in a website form. If troubleshooting requires confidential information, contact us first so we can agree on an appropriate channel and scope.
How we use it
We use information to:
- respond to questions and evaluate whether equipment and service needs fit;
- prepare quotes, receiving instructions, onboarding steps, and service records;
- provide support and carry out authorized physical work;
- coordinate shipments and maintain custody and work records;
- process transactions and keep accounting records;
- operate, secure, troubleshoot, and improve the site and service; and
- investigate abuse, enforce agreements, resolve disputes, and meet legal obligations.
We do not use a customer’s identity, quotation, service records, workload details, results, or photographs in a public case study without separate written permission. We review aggregated reporting to reduce the risk that a small group or distinctive configuration identifies a customer.
Why we process information
Depending on the interaction and applicable law, we process information to take steps requested before a contract, perform an agreement, comply with accounting and legal obligations, protect people and systems, and pursue legitimate interests in operating, securing, documenting, and improving the service. When consent is the appropriate basis, you may withdraw it for future handling without changing the lawfulness of earlier handling.
We do not use website or service information for automated decisions that produce legal or similarly significant effects. We do not build advertising profiles from public-site activity.
When we disclose information
We disclose only the information reasonably needed for these purposes:
- Website and security providers. Cloudflare hosts and protects the public site and may process request and security data.
- Form and communications providers. The Helixrack form relay and email providers process submissions and replies. A browser return from the form service does not prove email delivery or staff review.
- Service providers. Carriers, payment processors, and other vendors may receive information needed for a shipment, transaction, or requested service.
- Professional advisers and authorities. We may disclose information to advisers, insurers, or authorities when reasonably necessary to protect rights or safety, address a claim, or comply with law.
- Business changes. Information may be reviewed or transferred as part of a financing, acquisition, reorganization, or sale, subject to appropriate confidentiality protections.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising, and we do not use third-party advertising or analytics cookies on the public site. Our hosting and security provider may use essential cookies or similar mechanisms when needed to protect and deliver the site.
Retention
Our standard retention schedule is:
- Website and security logs: up to 90 days, unless an incident or abuse investigation requires longer preservation.
- Intake and beta inquiries that do not become a service relationship: up to 12 months after the last activity.
- Customer, support, custody, authorization, work, and service records: for the service relationship and up to three years afterward.
- Invoices, payments, and accounting records: up to seven years.
We may retain a record longer when law, a legal hold, a security investigation, an unresolved claim, or an agreement requires it. When the exception ends, the record returns to the applicable schedule. We may delete or de-identify information sooner when it is no longer needed.
Your privacy requests
You may ask to access, correct, or delete personal information associated with you. Depending on applicable law, you may also ask for a portable copy, object to or restrict certain handling, or appeal a denied request. Email [email protected] with the subject Privacy request and describe the information or interaction involved. Please use the email address associated with the request or account.
We may ask for information needed to verify identity and prevent unauthorized disclosure or deletion. An authorized agent must also provide evidence of authority to act. We will review a request and respond as required by applicable law. Some information may be retained when needed for security, fraud prevention, service delivery, accounting, legal obligations, or the establishment or defense of claims.
If we deny a request that carries a legal appeal right, the response will explain how to appeal. You may also contact the privacy or data-protection authority available in your jurisdiction.
Security
We use administrative and technical safeguards designed for the nature of the information we handle, including access restrictions, documented work authority, custody records, and secure delivery controls for the public site. No internet transmission or storage system is completely secure. If you believe information sent to Helixrack has been exposed or misused, email [email protected] with the subject Security report and do not include secrets in the initial message.
Children
The site and services are intended for businesses and adults managing computer equipment. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

The site may link to third-party websites. Their privacy practices are governed by their own policies, not this one.
Changes to this policy
We may update this policy as the site, service, or handling practices change. We will post the revised policy here and change the effective or last-updated date as appropriate.
