Removal and return

End service with the same clarity used at installation: identify the hardware, preserve customer data choices, authorize each physical step, and record the carrier handoff.

Plan first

Cancellation and removal are separate actions.

The written service terms define cancellation notice and the final billing date. The removal instruction defines what Helixrack may do with each chassis, component, accessory, and data-bearing device.

  • Confirm that customer backups and workload migration are complete.
  • Identify every chassis, drive, accessory, rail kit, and customer-owned spare.
  • Name the authorized person approving shutdown, removal, and destination.
  • State whether drives remain installed, are returned separately, or follow a separately approved sanitization process.
  • Approve packing method, declared value, insurance, carrier, destination, and recipient contact.
  • Confirm final power, transfer, remote-hands, packing, storage, and shipping treatment.

Removal sequence

Five recorded handoffs.

  1. AuthorizeHelixrack confirms the requester may act for the customer and that the instruction identifies the exact property.
  2. QuiesceThe customer confirms the workload and customer-managed access state before the approved physical shutdown.
  3. RemoveThe operator records time, chassis identity, removed accessories, visible condition, and any exception.
  4. PackApproved materials, inventory, photos, destination, declared value, and carrier label are tied to the custody record.
  5. ReleaseThe carrier, tracking number, package count, release time, and final Helixrack custody state are recorded.

Data-bearing media

No disposal instruction is implied.

A request to remove a server does not authorize Helixrack to erase, destroy, recycle, or discard a drive.

Facility-side sanitization requires a separate written scope naming the media, method, verification, charge, custody record, and final disposition. The applicable method is reviewed against NIST SP 800-88 Rev. 2 and the customer's data requirements.

Risk of loss

The customer remains responsible for selecting the destination and carrier, approving packaging, purchasing declared value or transit insurance, and confirming the recipient. Unless written terms say otherwise, Helixrack custody ends when the approved shipment is released to the return carrier.

Unclaimed property

Helixrack does not sell, destroy, recycle, or transfer customer hardware merely because service ended. Written terms, notice, storage treatment, and any legally required unclaimed-property process continue to apply.
